Organising Pupil Exchanges: Roles, Responsibilities and Safety - Conferences being held on 4 & 13 October 2005 at the Hilton Hotel, Kensington, London and Leofric Hotel, Coventry.

Target Group: Staff responsible for planning/leading foreign trips and exchanges
Approximately fourteen million children per year travel from one country to another. This figure includes many school exchange trips. These ventures may be a central feature of a school's extra-curricular or enrichment activities and are often integral to curriculum areas such as MFL. Unfortunately, a series of recent incidents involving foreign travel by school groups has led to grave concerns over both the planning and management of these trips. Concerns have been further emphasised by the disturbing findings of research carried out by the police.
Exchange trips demand a huge investment of time, energy and management. The RoSPA Guide to Health and Safety states that "trips abroad call for greater care, organisation and planning than trips and adventures at home". Exchanges, particularly those involving host families in other countries, can be daunting to assess as thoroughly as parents and pupils may expect. However, schools have a statutory duty of care and must exercise 'due diligence'. Health and Safety at Work regulations insist that written risk assessments should be taken before any potentially hazardous activities take place.
Many teachers have had no relevant training prior to their role in planning and leading exchanges and they are often unaware of their personal liability. This event has been specifically designed to provide up-to-date advice and guidance on the school's role and responsibilities in the planning, preparation, management and supervision of exchange visits. It will cover issues of child protection, 'safe' and best practices and the essentials of risk assessment. There will be specific inputs on:
